OfficeDocBox is a small, silent box that sits in your office and becomes the place documents go. Scan it, drop it, forget it. Then find it by meaning, or ask it a question and get an answer with the pages cited.

What it is

Your office paperwork, answered.

Every office has the pile: scanned contracts, invoices, faxes, spreadsheets, photos of paper somebody took with a phone. It gets filed on a server or in a cloud folder, and from that moment on, finding anything depends on remembering what somebody named it.

OfficeDocBox reads the pile. Staff scan a document at the office copier or drag a file onto a web page. The box reads it, including the scans and the crooked faxes, files it, and from then on anyone in the office can search it by what it says, not what it was called, and ask it plain-English questions that come back with the source pages listed.

Every part of that, the storage, the search, and the AI that reads and answers, runs on the box itself. Pull the internet cable out of the wall and it keeps working.

01 / PRIVACY

Nothing leaves the building

Storage, search, and the AI models that read documents and answer questions all run on the box. No account to create, no subscription, no upload to anyone's cloud, no per-question cost. For an office holding client records, payroll, or accounting files, this is the whole argument.

02 / CONFIDENTIALITY

Confidential by structure, not by setting

Every box has exactly two users: Front Office for general staff and Back Office for the owner or bookkeeper. Back Office sees everything. Front Office cannot see accounting or sensitive material, not in search, not in reports, not by guessing a web address. Nobody tags anything. Where a document is dropped is what classifies it.

03 / INSTALL

Installs without a single decision

Plug in a keyboard and monitor, power on, answer one question about the network, press Enter. The box prints the two passwords, tells you to unplug the monitor, and reboots into service. No accounts to create, no permissions to assign, nothing to tune. Those decisions were made once, here.

How the office uses it

No import wizard. No training.

Put paper in the feeder, press one button, walk away. That is the whole workflow.

Drop it in

Three routes, and none of them need a manual. The office copier gets two one-touch buttons, Scan to Front Office and Scan to Back Office. The box also shows up as two shared folders on the office network, so files drag in from any Windows or Mac desktop. And there's a drop zone in the browser for the one file somebody has in their hand.

It reads it

Born-digital PDFs and scanned paper. Word, Excel, PowerPoint. Photos, faxes, TIFFs, and phone pictures of documents. When a scan comes back uncertain, a bad fax, a crooked page, handwriting, the box takes a second, closer look at the page as an image and reads the tables and handwriting a plain scan can't. It records how confident it was on every page.

Find it

Offices search two ways, often in the same breath: "the consultancy agreement about the software rollout" and "invoice 4471." The box runs both at once, by meaning and by exact match, then re-reads the best candidates against your actual question before it ranks them. And when nothing matches, it says so. An honest empty page beats a page of plausible rubbish.

Ask it

Type a question in ordinary English, "what are the payment terms in the Hanna agreement?", and get an answer with its sources listed, so it can be checked against the actual page. A Front Office question is answered only from documents Front Office is allowed to read. Same boundary, every time.

What it does for the office

  • Finds the document in seconds instead of in someone's memory
  • Answers the question with the page cited, so nobody re-reads a forty-page contract
  • Reads the scans, faxes, and photos a normal search box ignores
  • Keeps accounting invisible to general staff, automatically, with nothing to remember
  • Shows what arrived today, what didn't read well, and what needs a human eye
  • One password per role, and it works on the copier and in the browser
  • Backs itself up every night, then proves the backup actually restores

What it never does

  • No cloud account, ever
  • No subscription and no per-seat licence
  • No per-question cost. It runs on electricity.
  • No upload of your documents to anyone, including us
  • No open door to the internet. The office network only, and support reaches in through a private encrypted tunnel that the box itself never reaches out of.
  • No page that waits on the internet to load, so it works on a poor connection
  • No delete button for general staff. On a filing box, an accidental deletion is worse than a full archive.

The reference build is running today on real hardware, reading real scans from a real office copier. Before the first box goes out, we're doing a full reset-and-rebuild rehearsal and a week of real documents in real use, because a box cloned before it's proven clones every unknown along with it.
