ProMethod Group (“ProMethod,” “we,” “us”) builds software and workflow tools for individuals and small businesses. This notice covers promethodgroup.com, our business phone line, and text and email communication with us. The short version: we collect only what we need to answer you and do the work, we don’t sell it, and we don’t share it for anyone else’s marketing.

What we collect

• Contact form. Your name, email address, company (if you give it), the topic you choose, and your message.
• Phone calls. When you call our business line, your call may be answered by an AI voice assistant that takes your message. We collect your phone number, the time and length of the call, and what you tell us: typically your name, callback details, and the reason for your call. Calls may be recorded and transcribed so we can respond accurately.
• Text messages and email. The content of messages you send us and the phone number or address you send them from.
• Basic technical data. Like most websites, our hosting provider automatically logs technical information such as IP address, browser type, and pages requested, for security and to keep the site running.

How we use it

• To return your call, answer your message, and follow up on your request.
• To provide, quote, and support the products and services you ask about.
• To keep reasonable business records and improve how we respond.
• To protect our site, phone line, and business from spam, fraud, and abuse.
• To meet legal obligations.

We do not sell your personal information, and we do not share it with third parties for their own marketing.

Calls answered by our AI assistant

To make sure every call gets answered, our phone line uses an AI voice assistant. It greets you, takes down your message, and passes a summary to us so a real person can get back to you. The assistant doesn’t make decisions about you; it takes the message. Calls handled by the assistant may be recorded and transcribed. If you’d rather not talk to the assistant, you can hang up and email us instead at the address below.

Text messaging

If we text with you, it’s about your request or our work together. We only text you if you’ve given us your number for that purpose. Message and data rates may apply. Reply STOP to stop receiving texts, or HELP for help. We do not share or sell mobile phone numbers or text-messaging consent with third parties or affiliates for marketing or promotional purposes.

Who helps us run things

We use a small number of trusted service providers to operate. They process information on our behalf and only to provide their service to us:

• Twilio: phone numbers, call routing, and text messaging.
• Vapi: the AI voice assistant that answers calls, plus call recording and transcription.
• Vercel: website hosting.
• Supabase: secure storage of contact-form submissions.
• Resend: delivery of contact-form notification and confirmation emails.
• Google Workspace: business email.

We may also disclose information if required by law, to protect our rights or safety or that of others, or as part of a sale or reorganization of the business.

How we protect it

We use reasonable administrative, technical, and physical safeguards: encrypted connections (HTTPS), access limited to the people who need it, and providers with strong security practices. No system is perfectly secure, but we take protecting your information seriously.

How long we keep it

We keep personal information only as long as we need it to respond to you, do the work, keep reasonable business records, and meet legal requirements. After that, we delete it or make it anonymous.

Your choices

You can ask us to show you, correct, or delete the personal information we hold about you, or to stop contacting you. Email us at the address below and we’ll respond within a reasonable time. We won’t treat you differently for asking.

Children

Our site and services are meant for businesses and adults. We don’t knowingly collect personal information from children under 13.

Changes to this notice

If we change how we handle personal information, we’ll update this page and the effective date above.
